Role and Responsibilities
- Manage the Director's calendar, including scheduling appointments, meetings, and events.
- Prepare reports, presentations, and other documents as needed.
- Handle travel arrangements, including booking flights, hotels, and transportation.
- Prepare and reconcile expense reports.
- Maintain accurate records and files, including digital and hard copy contract files for internal and external clients.
- Create purchase requests (PR) in the appropriate tool.
- Provide procurement support for IT and non-IT needs.
- Manage transportation for items and inventory for team assets.
- Visitors Management.
- Arrange for monthly or quarterly department meetings.
- Organize team outings, team lunches, or dinners as needed.
- Prepare visa invitation letters for visitors whenever required.
- Ordering stationery for the Team usage
- Communication and Liaison:
- Serve as the primary point of contact for internal and external stakeholders.
- Facilitate communication between the Director and other departments or individuals.
- Meeting Management:
- Coordinate and organize meetings, including preparing agendas and distributing materials.
- Ensure meetings flow efficiently and follow up on action items.
- Project Support:
- Assist with special projects and initiatives as needed. Compile data and research to support the Director's work.
- Confidentiality and Discretion:
- Maintain strict confidentiality regarding sensitive information and materials.
- Exercise discretion in all interactions and communications.
Qualifications:
- Bachelors Degree in Business Administration or related is recommended with a past experience in Admin with 3-6 years is preferred.
Skills:
- Strong organizational and time management skills.
- Experience in managing daily calendar activities.
- Filing expenses in a Timely Manner.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Strong attention to detail and accuracy.
- Ability to work independently and collaboratively within a team.
- Experience in a fast-paced professional environment.
- A high degree of professionalism and discretion.
Additional Notes
- The Admin executive will be responsible for handling the internal and external stakeholder requirement taking the initiative to understand the needs, making sure to facilitate task completion and act as the liaison between the internal team and external stakeholders.
